Scheduling Sessions and Recurring Appointments

Create single and recurring appointments, assign providers and locations, and handle schedule changes.

Overview

The Onvelas scheduling module supports single sessions, recurring appointment series, and drive-time logging. Appointments link directly to authorization units and can generate claims with a single click.

Creating a Single Appointment

  1. Go to Scheduling in the sidebar.
  2. Click any open time slot on the calendar (or use the + New Appointment button).
  3. Select the Patient and Service Type (e.g., Direct Therapy, Assessment, Supervision).
  4. Assign a Provider and Location.
  5. Set the Start Time and Duration.
  6. Optionally link to an Authorization — the system will warn if units are running low.
  7. Click Save.

Creating a Recurring Series

  1. Follow steps 1–6 above.
  2. Toggle on Recurring Appointment.
  3. Choose the recurrence pattern (daily, weekly, every 2 weeks).
  4. Select the days of the week for weekly recurrences.
  5. Set the End Date (typically the authorization end date).
  6. Click Save Series.

The system creates one parent appointment and individual child appointments for each occurrence. Conflict detection will alert you if any slot overlaps an existing appointment for the same provider or patient.

Editing a Series

When you edit an appointment in a series, you're prompted to edit:

  • This appointment only — changes only the selected occurrence
  • This and future appointments — changes the selected occurrence and all future ones
  • All appointments in series — changes every occurrence

Logging Drive Time

For providers who travel to clients (home/community-based services), you can log drive time in the appointment detail. Drive time is tracked separately and does not affect billable service time.

Generating a Claim from an Appointment

After a session is completed, click Generate Claim on the appointment detail. The system pre-fills the CPT code based on service type, the rendering provider, diagnosis codes from the treatment plan, and units based on session duration. Review and submit to billing.
